E-Directory Help



What is the E-Directory and why is it here?

The new E-Directory is a searchable database of Earlham Alumnæ and Alumni. Participation in the Directory is voluntary and only those Earlhamites who have provided current contact information are included.

The Directory was created to make contact information more accessible to friends of Earlham while preventing Earlhamites from additional junk email.

How do I see all the people from a certain class year?

To see all the individuals in a class, simply leave the name and address fields blank, select a class year from the pull down list and click on the Lookup button.



What is the difference between the Lookup and New Search buttons?

The Lookup button is always available. Clicking on the Lookup button will search the E-Directory for the search criteria you've entered.

After searching the database, all applicable results are returned along with the New Search button. Clicking on the New Search button will clear the form and allow you to perform a new search. If you would like to modify your current search, you can edit the search criteria you've already entered and click on the Lookup button.



What do and mean?

The envelope and home icons are in search results.

The envelope icon ( ) indicates that the person has provided Alumni Relations with an e-mail address. If you see more than one envelope icon for a single person, that means they have provided multiple e-mail addresses. On most computers, clicking on the envelope will open an e-mail to that person.

The home icon ( ) indicates that the person has provided a link to their home page. Click on the icon to open their home page in a new window.



How do I sort the results of my search?

By default, the results are sorted alphabetically by last name. You have the option to sort by last name or class year in either ascending or descending order.

Click on the category you wish to sort by ( Year or Title ). Clicking on the same category title again will reverse the sort order. The sort order indicator ( or ) will be beside the sorting category and will show the sort order.



What do I do if a person goes by their middle name?

You can put the person's middle name in the First Name field. This search will automatically check both first and middle names.



What do I do if I only know a person's maiden name?

You can put the person's maiden name in the Last Name field. This search will automatically check both last names and maiden names.



Why do I get names like Danny, Hanna and Jeanne when I search for Ann?

When you have "Ann " as an entry in the First Name field, the E-Directory will automatically return all the people with first and middle names containing the letters "ann." This is meant to help find people who have nicknames (e.g. Jonathon goes by Jon) and for people who go by their middle name.

What do I do when I get zero results?

There are a few reasons why you might get zero results. The person you are searching for may not be in the E-Directory. Participation in the Directory is strictly voluntary.

There may be a spelling mistake in one of your search terms. If you think all of your search terms are correct, but you aren't seeing the person you're searching for, being less specific will yield more results. You can try searching for just a person's first name instead of both their first and last name or if you've selected a selected a specific class year, you can select "Any" class year instead. Since the E-Directory Search will find matches containing your search criteria (e.g. the name Jonathon will match a search for Jon) you can try to enter a smaller part of the name.

I'm getting an error, what does it mean?

There are only two error messages that occur under normal operating conditions.

  • Please enter a search term or select a class year
  • Please enter a search term of at least three characters or select a class year

The first message occurs when the Lookup button is clicked without any search criteria (Name and email fields are blank and no class year has been selected). The second error message comes up when the search criteria entered are not long enough (e.g. the letter 'a' in a name field).

To remedy the cause of either error, simply make sure you have entered a search criteria and that it is at least three characters long.

If you get an error that is not listed above, please contact Alumni Relations to alert someone to the problem.



How do I get my information into the E-Directory?

If you're willing to publish your e-mail and/or home page address, please visit the Alumni Update Form. Changes to the E-Directory database will usually occur within a week.

Will I get spammed because I have my contact information in the E-Directory?

No, you will not receive spam from having your contact information in the E-Directory. Since the Directory requires human interaction, e-mail harvesting programs cannot get to your e-mail address.
