In an effort to provide consistency in support and to maximize savings in purchasing the printers and printer supplies, all printers should be purchased through ECS. Additional printers may be requested from IS equipment funds or purchased with departmental funds as needed to provide adequate coverage for the departmental printing needs. Replacement of departmental non-color printers will be covered from IS replacement funds and will take place when the printer is no longer meeting the functional needs of the department or the cumulative repair costs of the printer are going to exceed its current value. Individual laser printers and color laser printers may be requested from IS equipment funds (with proper justification) or purchased with departmental funds. Replacement of individual laser printers and color printers using IS equipment funds must be approved as a new equipment request. The department assumes all cost for the ongoing provisioning of toner and paper needed to operate their laser printers. Departments will pay up to $75.00 of any needed repair with the balance being covered by ECS. ECS will seek to find the best pricing available for toner cartridges and make these prices available to the departments. Individual color ink jet printers by their nature are more costly to operate than laser printers and have a much shorter lifespan. They do not provide laser quality print and should not be used for mass replication of documents. Ink Jet printers will be provided to faculty and staff as follows: Administrative faculty and staff will need the approval of their departmental Directors or VPs in order to receive an individual ink jet printer. Academic staff will need the approval of their departmental convener in order to receive an individual ink jet printer. Teaching faculty will be given the option of an individual ink jet printer, with the understanding that their department will have additional expenses in keeping them provisioned. Replacement of ink jet printers will be covered from IS replacement funds and will take place when the printer is no longer meeting the functional needs of the user. ECS will make the decision regarding repair or replacement on a case-by-case basis. The department assumes all cost for the ongoing provisioning of the ink jet cartridges and paper needed to operate their ink jet printers. ECS will seek to find the best pricing available for ink jet cartridges and make these prices available to the departments. Additional ink jet printers, such as portable printers, may be requested from IS equipment funds or purchased with departmental funds as needed. This policy may be revised as needed by ITPC as technology
