Straight from The Heart (Alumni E-newsletter)
Mission
Submitted via e-mail once per quarter, Straight from The Heart (SFTH) informs Earlham alumni and constituents of the latest relevant College news in a timely and more interactive way.
Content
SFTH features informative introductory blurbs
with web links to the latest campus news, noteworthy alumni and
student profiles, student/faculty/alumni accomplishments, and
inspiring examples of philanthropy toward the College. The
e-newsletter typically contains at least five different stories,
and usually no more than ten.
Content is preliminarily determined at a planning
meeting 5-6 weeks prior to the submission of SFTH. However, as news is
made during those 5-6 weeks, more stories might be added and others
may be replaced. The Director of Alumni Relations and the
Development Communications and Stewardship Coordinator oversee
the planning process, with content development assistance by the
Media Relations Director and the Earlhamite Editor. The Institutional
Advancement Technical Assistant completes content organization
into the final, digital format.
The Technical Assistant collects the content
and tests all links, making changes as needed. This person creates the Web page
to house the current issue, also creating a text version for those
recipients whose e-mail does not support HTML. Feedback is
collected by all of those involved and the submission is tested
before it is finally sent.
Distribution
SFTH is sent to alumni, parents and friends
of the College who have an e-mail address in Banner that is marked "preferred." Recipients
may ask to be excluded from the list.
The Technical Assistant pulls the email list
from Banner and creates a text file, which is then imported into
JangoMail. After
every e-newsletter submission, that list is deleted from JangoMail,
to ensure the next list will contain the most up-to-date information. A
reporting interface in JangoMail allows the Technical Assistant
to track statistics specific to each submission.
Submissions
SFTH is based on submissions from members of the Institutional
Advancement and Public Affairs staff. Story suggestions may
be made to the Director of Alumni Relations and, if deemed appropriate,
every realistic effort will be made to include those suggestions
in the next e-newsletter. Copy is formatted in a standard
news article or feature format, utilizing journalistic style. |
