Operations Manager — Academic Affairs

Earlham College is accepting applications for the position of Operations Manager in the Office of Academic Affairs. This is a full-time administrative position. Salary is commensurate with experience and includes a full benefit package.

The Operations Manager and Technology Specialist provides technology leadership for the Center for Career and Community Engagement (CCCE) and Earlham’s new EPIC Advantage program. Key technology platforms include Handshake (the College’s employer relations platform), AdviseStream (the College’s integrated learning and advising platform), and Earlham Engage (the College’s community engagement portal). This position also will be responsible for coordinating internal, on-campus marketing efforts for the CCCE. The Operations Manager supervises an Administrative Assistant and reports to the Associate Vice President for Academic Affairs.

Primary Duties & Responsibilities

  • Provides technical and project management for the AdviseStream, Handshake and Earlham Engage digital platforms.
  • Serves as the chief communications liaison and trainer for faculty, students, employers and alumni with these systems.
  • Responsible for the technical infrastructure and workflow behind EPIC Advantage as well as several associated programs (e.g. the alumni mentoring program, off-campus study and fellowships).
  • Works collaboratively with the AdviseStream on-campus administrative team and off-campus technical support systems to develop, maintain and troubleshoot the system and its overall implementation.
  • Works collaboratively with Career Education to manage and optimize Handshake for campus usage including database management, workflow management and communications management.
  • Works collaboratively with other campus units including the Early Alert team, the Registrar’s Office, Institutional Advancement and Information Technology Services to administer the various systems as well as the interface between these systems and Banner.
  • Supervises the Administrative Assistant in the Center for Career and Community Engagement.
  • Responsible for coordinating internal, on-campus marketing for the CCCE including website edits, printed flyers and posters, and other communication pieces.
  • Works collaboratively with Community Engagement to manage and optimize Earlham Engage for both on-campus users and off-campus partners.
  • Hires, trains and supervises student employees to assist with the above.
  • Carries out other duties or special projects as assigned.

Experience & Qualifications

  • A bachelor’s degree is required.
  • A strong background in IT and technology including database management and systems integration is required.
  • Exceptional oral and written communication skills and an enthusiasm for interfacing with students, faculty, employers and alumni in training capacities.
  • Ability to prioritize and manage short-term, long-term and recurring projects and duties and to handle multiple assignments coming from different people simultaneously
  • Excellent problem-solving and good interpersonal skills.
  • Exceptional collaboration skills and ability to work in and across teams.
