Policies Guiding Our Operations

Public Affairs is guided by Earlham's Mission Statement, found in the Curriculum Guide and in a number of College publications. It is our charge to demonstrate the accomplishment of the institution's mission as we create messages that share the Earlham story. As members of the Earlham community, we are also guided by the Principles and Practices of the Earlham Community found in print in the Student Handbook and in its own brochure. The Faculty Handbook, available in print, informs us on personnel procedures and policies.

Academic Integrity

The College's policy on academic integrity is at the foundation of our work in Public Affairs. Our staff members are committed to honest reporting about Earlham; we aim at balancing positive perceptions of the College with truth telling in the messages we create for publications, media distribution and the Web site. We aspire to be known for honest reporting by reporters and outside agencies while modeling best practices for our student assistants. We respect intellectual property rights and seek permission when reprinting the work or words of others or when posting materials at the Web site. We involve individuals being quoted in reviewing our rendition of their words. We honor legal expectations related to the purchase of computer software and music. In turn, we expect that Earlham's messages will be properly cited by outside agencies and work with those organizations to resolve and correct problems.

Other Policies

  • Our Style Manual (pdf download) details our office's approach to graphic design and to writing for the College.

  • Our release of student information procedures are guided by the Family Rights and Privileges Act (FERPA).

  • Our Photo Release Policy describes our approaches to crediting photographs, photo shoot planning and use of photographs taken on campus.

  • The mission, policies and procedures related to the Earlhamite alumni magazine and Earlhamite Extras, its online counterpart, are available to alumni online and in our printed Procedure Manual. The magazine's mission also is printed in each issue.

  • Public Affairs provides instructions and oversees procedures that guide Earlham faculty and staff in updating personal information through WebDB. "Instructions for Updating Personal Information in WebDB" assists individuals in entering personal information to our College-wide database; the personal information is then accessed through Banner software and printed in the annual Faculty and Staff Directory, in directory listings on the Web site, and in the Curriculum Guide.

  • Policies and procedures governing Earlham's electronic communication strategy detail the mission and workings of the Faculty Listserv, Earlham Miscel Listserv, Student Distribution List, and Around The Heart (daily and weekly). Information about each vehicle's mission, content, distribution and submission procedures is included.

  • Crisis Communication Protocols and Weather/Emergency Closing Procedures have been developed and are a part of the Public Affairs Procedure Manual; they are also on file with Campus Safety and Security and with the Business Office.
