Every publication has a purpose. Public
Affairs is dedicated to providing materials that
• publicize Earlham events
and programs
• encourage and inform groups such as prospective
students and Earlham alumni
• assist every department on campus in reaching specific
audiences

Schedule a Meeting
We
will schedule an initial meeting to plan your printed publication
and discuss:
• Audience and Purpose
• Design Concepts
• Guidelines for submitting materials to Public Affairs
such as text and artwork.
• Timeline
• Quantity
• Mailing details
• Paper stock
• Budget and cost
• Proofreading
• Production tracking
• Other meetings as needed
• Text should be a minimally formatted
Microsoft Word document. This means that
text may contain bold and italic elements, but we have
to undo anything more elaborate! Please do not place
your text in columns or tables, and do not insert graphics
into your Word document. We cannot
accept Microsoft Publisher documents.
• We can arrange a photo
shoot for you.
• If you have digital photos to submit,
please be aware of the resolution and quality of your
files. High-resolution photos are necessary for professional
reproduction. Photos pulled from Web sites can only be
used VERY small, if at all, and may also violate copyright
regulations. If you wish to submit other artwork (such
as a photo print or drawing), we will scan it for you.
If you're not sure, your artwork or digital file is
adequate for publication use, we would be happy to review
it and proceed accordingly. We can also supply other
artwork as needed.
Timeline
Depending on the scale of your printed
publication, the time required will vary. For most pieces,
the initial planning meeting must be scheduled eight
weeks before the final publication is needed. More elaborate jobs,
such as projects consisting of several separate pieces,
require more time. Please consult with us on your project’s
specific needs.
Adhering to standard deadlines helps ensure
that your final product is accurate, timely and affordable.
We depend upon a variety of outside vendors to print our
publications. Their schedules hinge upon their clients’ cooperation.
Also, at any given time, Public Affairs is working on 50
to 75 different publications. We’re only human!
We ask that any materials you give us be as
accurate and complete as possible. While we provide careful
proofreading as one of our services, you bear the final responsibility
for your publication's accuracy. If your department has already
proofread and corrected your text, we can process your publication
much more quickly.
