Ordering an Official Transcript

The Family Educational Rights and Privacy Act of 1974 states that a request for official transcripts must be made in writing to the Registrar's Office. The request must include the student's current address and the addresses where the transcripts are to be sent. Dates attended, birth date, social security number or graduation date is helpful. The transcript request must include your name as registered at Earlham. A handwritten signature is required on transcript requests.

For Alumni — Class of 1995 and Earlier

  • If you haven't already, create an account on TheHeart.
  • Go to TheHeart and login.
  • Follow instructions under "Order a Transcript."

For Alumni — Class of 1996 to the Present

  • If you haven't already, create an account on TheHeart.
  • Go to TheHeart and login.
  • Under "Student-Era Records," visit "Request Official Transcript" and complete the online form.

For Alumni Without an Account on TheHeart

  • Print, complete and sign the Transcript Request Form.
  • Return the form (three options):
    • Mail: Registrar's Office, Earlham College, 801 National Road West, Richmond, IN 47374-4095
    • Scan and Email: schenbe@earlham.edu
    • Print and Fax: (765) 983-1374
  • Submit payment of $5 per transcript (two options):
    • Online
    • Mail check to: Registrar's Office, Earlham College, 801 National Road West, Richmond, IN 47374-4095

For Current Undergraduate Students (Two Options)

  • Online
    • Login to Self Service.
    • Complete the online form. (Your student account will be billed.)
  • In person at the Registrar's Office
    • Complete, sign and submit the Transcript Request Form.
    • Submit payment of $5 per transcript.

Please note:

  • There is a $5.00 charge for each transcript that you order.
  • The Registrar's Office will not process transcripts until payment is received.
  • Transcripts are processed twice a week, on Mondays and Thursdays.
  • Please allow at least a week for processing.
  • During very busy transcript times, graduate school application deadlines, etc., please allow at least two weeks.
  • We cannot fax transcripts, nor can we issue unofficial transcripts to non-enrolled students.
  • When submitting a printed copy of the Transcript Request Form, please print clearly and use a black pen.
  • Changes made after processing a transcript will require a new request form and fee payment.
  • Once an official transcript has been processed, it cannot be canceled or refunded.
