Class Reserve Materials

The reserve system is used to keep materials at the circulation desk for a specific class. This ensures that materials will be available to students in the class and not checked-out of the library by other patrons for prolonged periods of time.

What Can be Placed on Reserve?

Any library materials or personal materials may be placed on reserve, provided that they adhere to College Copyright Policy and do not fall into the categories listed below. It is the responsibility of those placing materials on reserve to make sure that their materials are copyright compliant. For more information on copyright see the Earlham College copyright policy. The library accepts no responsibility for reserve materials that violate copyright. Library books, articles, photocopies, and other materials may all be placed on reserve at both libraries.

The following may NOT be placed on reserve at either library:

  • Reference materials
  • Books belonging to other libraries, including ILL materials
  • Journals from the library collection (photocopies will be accepted)
  • Workbooks
  • Any materials that violate Earlham policies

Borrowing Policies

Any Earlham or Bethany student, faculty or staff member may check out items on reserve. YOU MUST HAVE YOUR ID IN ORDER TO CHECK OUT RESERVE MATERIALS.

Loan Period

Most reserve items circulate for 2 hours. Some items circulate for 1, 4, 6, or 24 hours, or 2, 3, or 7 days. The loan period is noted on the item and circulation staff will remind you of this when items are checked out. Most reserve items are permitted to leave the library, however, some are restricted to "Library Use Only." Staff will notify you of this at checkout.

Reserves must be returned to the circulation desk, to a staff member. DO NOT place reserve materials in the book drop.

Fines

The fines for reserve items are $1.00 per hour per item, and accrue rapidly. Be sure to return your items on time to ensure availability to other students.

PLEASE NOTE: Laptops and ITAM materials have separate policies and fines. To see additional infomation regarding policies and fines for these items, follow the links below:

How do I Place Materials on Reserve?

Any Earlham student, faculty or staff member may place materials on reserve. A reserve form available at the library or from a department secretary must be filled out for each item. The following are additional guidelines to keep in mind when submitting material to placed on reserve:

  • Materials must be brought to the library staff with complete bibliographic information.
  • The appropriate number of copies must be provided to library staff. We will not photocopy material for you, in an effort to adhere to copyright regulations.

Please remember that reserve materials are occasionally lost or damaged during the course of a semester. The library is not responsible for lost or damaged reserve items. Please keep this in mind when placing personal materials on reserve.

Materials must be brought to the library during normal business hours (Mon.-Fri. 8-5) and given to the circulation supervisor (Jeanie Lindsey at Lilly or Mary Bogue at Wildman). Please give the library staff ample time to place materials on reserve. Materials should be in the possession of library staff at least 3 working days prior to their expected availability for student use. Be aware that it may take longer to process items during the busiest times of the year (the beginning and ending of a semester especially), and plan accordingly when placing materials on reserve at these times.

Questions regarding Reserve policies should be addressed with the appropriate circulation supervisor.
