Reducing Wordyness

Many presentations given at conferences show appaling style. Here are some example slides from such a presentation.

too much text on a slideThis slide shows what happens when you cram a lot of needless text onto a slide.

much less text is more readable Here, I've trimmed the text, changed the font to sans-serif, and made each bullet fly in from the right independently.

Class To Do

Save this 3 slide bad presentation to your home drive (remember to right-click on the link). You'll notice that the first slide is the one shown above. You'll need to:

  1. Change the Master Slide to use sans-serif font (eg Arial) and
  2. edit slides 2 and 3 to reduce wordyness in a similar way to the slide shown above.
  3. Save As a new filename and upload into your blog.
Creating a good presentation
  • Often the hardest part of creating a Powerpoint slide show is deciding how to split up the information you have.
  • You are going to take the information and graphics from "Rugby - beginner's guide" web page and make it into a Powerpoint slide show.
  • Open "Rugby - beginner's guide" and save the page on your home drive - create a folder called "rugby_ppt" first and save in there. Note that all the associated graphics are saved too.
Preparation
  • You can see that there are four (4) major sections, each having the <h2> heading:
    • The Game
    • Scoring
    • Moving the ball
    • Set Plays
    • and sub-sections <h3> within these

  • I suggest that you use a slide design with
title = section name (eg "The Game")
    subtitle = subsection (eg "Duration")
  • And each subsection <h3> will be a separate slide
(to sart with at least - you can always condense slides later)
  • You need to create 9 slides; a Title, and 2 subsections from each of the 4 sections, as follows:
slide number Title Subtitle type of slide
    1 Rugby Beginner's Guide Title
2 The Game Pitch / Duration bullet + graphic
3 The Game Players bullet + graphic
4 Scoring Try bullet + graphic
5 Scoring Penalty Kick bullet + graphic
6 Moving the ball Passing bullet
7 Moving the ball Tackling bullet + graphic
8 Set Plays Scrum bullet + graphic
    9 Set Plays Line-out bullet + graphic

  • You will definitely need your printout of Monday's "presentation anatomy" guidelines because the show needs to follow all the guidelines especially the visual clarity and legibility guidelines
  • For each slide you will have to decide what information matters and condense it down to a few words on a few lines. The whole text can then just be pasted into the speaker notes for reference.
Creating the show Now you are ready to start creating your show:
  1. Select File -> New : Design Template
Choose an appropriate color and design scheme
  2. select View -> Master -> Slide Master
change fonts to sans serif (you know what that means)
    change sizes if neccessary
    Close when finished
  3. select View -> Master -> Title Master
change fonts and sizes to be the same as master slide
    Close
  4. Create Title slide - Title = "Rugby", subtitle "beginner's guide"
  5. Add bullet slides from the list you made.
Create all the slides with titles and subtitles first
  6. Now add bulleted content (use few words) and at most one graphic image per slide.
  7. When you have finished adding all the content, work on:
    1. slide transitions (select Slide SHow -> Slide Transition)
don't forget to apply to all
    2. Bullet animations - apply to Slide Master
select View -> Master -> Slide Master
      select text area
select Slide Show -> Animations and apply
    3. To animate graphics you'll need to do this on each slide
    4. Add footers to the Slide Master if desired
  8. Save the presentation in a file called "rugby presentation.ppt" and upload it into a new blog entry.
